What we operate, and for whom

For a corporate event in Provence we handle the whole ground operation: the venue and its meeting rooms, accommodation, arrival and departure transfers, catering during the working sessions, evening dinners, optional activities and coordination on site while the event runs. Everything is contracted through a single local operator rather than assembled supplier by supplier from abroad.

Our counterparts are professional buyers: MICE agencies, PCOs, independent event planners and corporate teams organising their own meetings. One local partner, one contract, one invoice — and the client relationship stays where it belongs. When the brief comes from an agency, we never contact its end client directly.

The single-venue format

This is the argument that matters most for a working event. Several central hotels in Marseille and Aix-en-Provence have integrated meeting rooms, which means the group sleeps and meets under the same roof. There is no daily shuttle between a hotel and a separate meeting venue, no twenty minutes lost at each end of the day, no group splitting across two vehicles and arriving in fragments.

The effect on the quality of the event is concrete. Sessions start on time because nobody is stuck in traffic. Breaks can be short, fifteen minutes rather than forty-five, because the room is upstairs. Participants who need to take a call or drop a bag do it in two minutes. The group stays together between sessions, which is where most of the informal value of a seminar is actually created. And if the agenda slips, the schedule absorbs it, because no external transport window has to be renegotiated.

Accessibility

Marseille Provence airport is 25 to 30 minutes from the city centre by road, with direct flights from most European capitals and regional hubs. Marseille Saint-Charles TGV station sits in the city centre itself, three hours from Paris. For an event gathering participants from several countries on the same day, this combination is the practical difference between a realistic arrival schedule and a first afternoon lost to transfers.

Rooms and configurations

Theatre, classroom, cabaret, boardroom, plus the breakout rooms needed for workshops: the configuration you choose determines the real capacity of a room. The same space may seat 200 in theatre style, 120 in classroom style and 90 in cabaret style. Audiovisual requirements, screen and projection, sound, microphones, recording or streaming, further reduce usable floor area and dictate ceiling height and sightlines.

This is therefore the first question to settle, before any quotation is issued. Give us the plenary format, the number and size of breakout rooms, and the audiovisual requirement, and the shortlist of workable venues narrows immediately — which is far faster than comparing headline capacities that assume a configuration you will not use.

What we operate on the ground

Accommodation in single or shared rooms, according to the rooming list you provide. Airport and station transfers, grouped by arrival wave. Transfers to off-site dinners. Coffee breaks and lunches coordinated with the meeting schedule rather than against it. Dinners outside the hotel when the programme calls for a change of setting. Cohesion activities and city discovery for the free half-days, in the same register as our team building programmes in Provence. Guides working in French and in English. And coordination on site, by one of our team, for the whole duration of the event.

Groups arriving by sea for a single day on land are handled as shore excursions from Marseille, with the same transfer and guiding structure compressed into a port call.

Seasonality

Spring and autumn are the best windows for a working event: manageable temperatures, full availability of guides and vehicles, and a city that functions normally. That said, September and October are still high season on the Mediterranean coast. Rates stay high, and availability for blocks of rooms with meeting space closes early, often six to nine months ahead. Deciding late in those two months usually means accepting a compromise on the venue rather than on the price.

For a large group, hotels will ask for a signed contract and a deposit quickly, sometimes within days of holding the space. We tell partners this at the first proposal rather than at the signature stage, because a decision timeline that does not match the hotel's release date is the most common reason a good venue is lost.

Net rates or commission, at your choice: you decide which model fits your own contract with the client. Once the brief is complete, our first proposal comes within 48 hours, with the venue shortlist, the room configurations, the ground services and a clear note on what is held and what is provisional.

Aura Provence is registered with Atout France under IM013250009 and covered by an APST financial guarantee, with professional liability insurance, which satisfies standard corporate procurement checks. The relationship with the end client remains entirely with the agency. We never contact it directly, before, during or after the event.
